The Onboarding & Matching tab provides you with important data for each step in the mentee and mentor onboarding funnel all the way up to being matched with a counterpart. In this tab, you’ll be able to see quick top-line numbers for each step in the process, as well as mentee and mentor funnel charts and the Top Recruitment Opportunities chart.
Top-Line Numbers
There are two rows with top-line numbers, showing the current participant totals for each onboarding and matching step, from participants invited to participants matched. The first row shows Mentee Data and the second row shows Mentor Data.
Each number also shows an indicator beneath it that gives the change since the previous week.
This data allows you to see the current status of each step in the onboarding process, to help you keep on top of how the process is progressing.
Mentor and Mentee Funnels
The mentee and mentor funnel charts present essentially the same data in a more visual format. In the funnel charts, the number of invited participants is at the top, with each subsequent step below the previous one, to provide an easy-to-digest visual snapshot of your participants’ progression through the program.
These charts are a great visualization to share with team members when you need to give an update on the status of the onboarding process.
Click on one of the bars in the funnel chart to see a list of participants currently in that specific step in the funnel. This will take you to a pre-filtered version of the Participants page showing the list.
Top Recruitment Opportunities Chart
The Top Recruitment Opportunities displays the five largest recruitment opportunities: the biggest gaps between what mentees prefer in a mentor and what mentors have to offer.
More specifically, “mentor recruitment opportunity” is defined as the difference between the number of mentees waiting who prefer a mentor with a certain attribute and the number of available mentor slots for mentors with that same attribute. “Mentor slots” refers to the number of mentees that all eligible mentors can support with their remaining mentor capacity.
Example: Your program has 50 eligible mentors who have not been matched and each mentor volunteered to support 2 mentees. Your program would have 100 mentor slots available.
Example: Your program has 50 eligible mentors and each mentor volunteered to support 2 mentees, but 25 of those mentors are already matched with 1 mentee. Your program would have 75 mentor slots available.
You can also drill down into particular areas of opportunity (e.g. Top academic interest) by selecting an option from the dropdown at the top of the chart, and export the data using the Export to CSV button.
How Can I Use These Insights?
Most of the time you won't need to take any action to ensure that your participants end up with the right match. Since the recruitment process often stretches over weeks or even months, you may not need to take any additional action to ensure that participants end up with the right match even if this graph displays some recruitment opportunities. Mentor Collective's research shows that program outcomes are not impacted by minor delays in finding the right mentor for a participant.
However, if you do have a lot of mentees with specific top matching criteria that your current pool of mentors don't quite meet, the Top Recruitment Opportunities Chart can help you target your interventions. For example:
- If there are many mentees waiting who prefer a mentor who is majoring in Chemistry, you could ask the Chemistry department for nominations of students who would be good mentors.
- If there are many mentees who identify as first-generation who are waiting for a mentor who has similar life experiences, you could find current mentors who also identify as first-generation and ask them if they are willing to take on more mentees.
FAQ
❓Why don't the number of "invited" people in the funnel match the number of "Invited" people in the participants filter?
- Participants are assigned the "invited" program status when a partner provides their contact information and they are added to the program. However, it is possible for people to join the program with alternative contact information, for example, a personal email address – in which case, this person essentially skips the “invited” status in the funnel and instead jumps right into the “registered” status.
- The “invited” filter on the participants page counts all participants, even if they technically skipped the “invited” status.
- The “invited” numbers in the funnel counts only participants who have been assigned the “invited” status in the system.
- This number may be slightly smaller compared to the number seen when you filter on the Participants page.
❓I can see that some of the mentors in my program have completed training on the Participants page, but I don’t see anyone trained in the mentor funnel. Why is that?
- This is likely due to the fact that some of the mentors you invited to your program completed the required mentor training in a previous program.
- However, when calculating the number of mentors who have completed training, the mentor funnel will only include mentors who have registered for this specific program.
