There may be times where you wish to remove a participant from your program. Perhaps they are no longer interested in participating, are not eligible to participate, or may signed up as a mentor when they should be a mentee.
If you have identified that someone should no longer be in your program, there are two processes to remove them, depending on their program status.
How To: Remove Registered Participants
The steps below will remove participants with the following program status: Registered, Onboarding Completed, or Matched.
- Navigate to the Participants page on the Partner Dashboard.
- Search for the individual you wish to remove.
- Click on their name to view their profile page.
- Click the "Deregister" button.
- Select the Primary Reason for Deregistration that most closely matches the situation.
- Click "Confirm".
If the participant was matched, this action will also unmatch them. We will send a message to their counterpart to let them know, and inform them that they will be rematched if possible.
The program status will now reflect that participant's exit from the program.
Participants Registered as Mentor and Mentee
Mentor Collective's platform does not currently support individuals participating as both a mentor and mentee in the same program. However, participants will occasionally and accidentally register for the wrong participant type and make a later correction, resulting in two profiles. This can be both a confusing user experience and result in confusing data in the Partner Dashboard, as it will only display data for the participant type who is furthest along in their program participation.
You will see a banner at the top of the participant’s profile page, if this issue occurs:
If you find a participant in this situation, you will largely follow the same process as any other individual participant. However, you will need to specify which participant type you would like to deregister: mentor or mentee.
Reviewing Deregistration Reasons
Partners can filter by the “Deregistered” program status in the Participants page of the Partner Dashboard. In addition, you can more specifically filter by:
- Exited after registering
- Existing after completing onboarding
- Existing after being unmatched
Export the filtered results to review the deregistration reasons for all participants.
You can also review an individual’s deregistration reason on the Participant Profile page.
How To: Remove Non-Registered Participants
The steps below will remove participants with the following program status: Invited.
- Contact Partner Support (partersupport@mentorcollective.org) with the participant's information and additional context on why they should be removed.
- Mentor Collective will prevent future recruitment messaging from being sent.
Note: Any registration links already sent to the participant will remain active.
FAQ
❓I removed a participant from my program, but I still see them on my Partner Dashboard. Why?
- This is expected! By “removing” a participant, Mentor Collective's platform essentially updates that participant’s Program Status, rather than deleting that participant’s profile.
- Even though a participant may not be active in or eligible for the program, they may still have important data tied to their account that you don’t want to lose.
❓What do deregistered participants have access to? What messaging do they receive?
- Deregistered participants will no longer have access to details in the Participant Dashboard for this program.
- They will also not receive communication from Mentor Collective's messaging for this program.
- This will not block the deregistered participant from participating in or receiving communication for future programs.
