How To: Reviewing and Updating Flags

While the specific process for reviewing and addressing flags will vary by institution, the following process is generally recommended.

1. Determine Review Cadence

When a flag is reported, all predetermined flag recipients tied to your program will be alerted via email about the flag. You may choose to review flags, as they are reported or on a regular cadence. Mentor Collective recommends that flags are reviewed at least once a week. 

Unless your program has opted to not share flag status with mentors, mentors will see the action status of each flag they have reported on their Participant Dashboard. It’s important to stay on top of updating the action status of flags, so that mentors  have some insight into when and how their reports are being addressed. Mentors do not see comments. 

2. Review Pending Flags

Review Pending flags on the Flags page of the Partner Dashboard by:

  • Reviewing all flags in the Pending tab on the Flags table, or
  • Clicking on “Review Pending Flags” to review flags one-by-one. 

View the Mentorship and/or flag history, to get additional context and check if this has been a recurring concern. 

If you have a large number of Pending flags to review, you may want to prioritize by “Support Priority” and focus on addressing any “Immediate” support priority flags first.  

3. Determine Action Status & Address Issues

If the flag does not require any additional action…

  • Mark the flag as Non-actionable. 

If the flag requires you or others at your institution to take action…

  • Mark the flag as Actionable, and take any action steps needed to resolve the issue.
  • This could involve reaching out to the mentor or mentee, forwarding the issue to another individual or office, etc.   
  • Tip: Leave a comment, specifying the action you took including your initials and date. 

If the flag has been resolved…

  • Mark the flag as Resolved. 

If enabled, mentors can then review the status of their submitted flags on their Dashboard

4. Review Previously Processed Actionable Flags

You may have previously marked flags as Actionable that need to be revisited. Review any Actionable flags and either take additional next steps, or mark as Resolved.
