Participant Messaging Overview
Mentor Collective’s standard participant messaging uses a combination of field-tested emails and text messages to maximize program recruitment and engagement among mentors and mentees.
Communication Flow
Mentor Collective’s participant messaging automatically adjusts, based on what actions the mentor or mentee has (or has not) taken. Due to the intuitive nature of our messaging, not all participants will receive the same message on the same day. Why? We strive to send participants the most relevant information to them at the right time.
However, participants will generally receive messaging in the following sequence.

Recruitment Messaging
After the institution sends an initial invitation email…
Mentor Collective's automated system will begin sending follow-up recruitment messaging, which will provide information about the program, the value of mentorship, and instructions on how to sign up. Language adjusts slightly, depending on if individuals are new or returning participants. In addition, there is a clear opt-out procedure for those not interested in participating and/or receiving additional messaging.
Recruitment messaging typically includes 5 emails and 4 text messages, sent over 5 weeks. However, specific messages, format, and timing may vary program to program.

Pre-Match Messaging
After the participant has signed up for the program…
Participants will automatically begin receiving pre-match messaging, which will provide additional information about the program, set expectations, and direct them to complete their Mentorship Checklist. Specifically, mentors and mentees will both be asked to complete a matching survey, and mentors will be asked to complete mentor training. These tasks are required in order to be matched in the program.
Pre-match messaging typically includes 5 emails and 4 text messages, sent over 5 weeks. However, specific messages, format, and timing may vary program to program.

Match Messaging
After the participant has been matched…
Participants will automatically receive match messaging, which will inform them that they were matched, provide insight into their counterpart, and encourage them to make initial contact.
Match messaging typically includes 1 email and 1-2 text messages, sent immediately after match. However, specific messages, format, and timing may vary depending on the type of match created and information participants’ provided in their matching survey.

Mentorship SMS Relay
After the participant has been matched…
The text message we send during match messaging is special: in addition to informing the participant about their match, the same thread will also serve as their anonymous SMS relay moving forward. If a mentee or mentor responds in that thread, it will go directly to their counterpart – all without need to exchange their real phone numbers.
Mentors may receive one of two types of relays:
- Individual 1:1 Relay: Mentors are sent one text message for each mentee they have been matched with. This same thread will also serve as their individual relay moving forward: if a mentee mentor, it will go directly to that mentee.
- Megaphone Relay: Mentors will receive one message notifying them of all of their matches. When the mentor replies, the message will send to all mentees at once - like a megaphone. If a mentee responds, it will start a new, individual thread for that specific mentor and mentee.
The type of relay set up for mentors will depend on the number of mentees that a mentor is matched with and the type of match created. Mentees will always receive an individual 1:1 relay with their mentor.

Post-Match Messaging
After the participant has been matched…
Participants will automatically begin receiving post-match messaging, which will provide reminders to log conversations and/or submit flags, direct participants to their conversation sparks, and encourage participation from those showing signs of not connecting.
Post-match messaging typically includes 1 email and 1-2 text messages per month. However, specific messages, format, and timing may vary depending on the participant's engagement in the program.

Assessment Messaging
At a time of your program's choosing…
While assessment surveys vary slightly based on a program’s design, participants will generally be sent three assessment surveys: at the start, middle, and end of the program. However, programs can choose when exactly to begin each surveys' messaging.
Assessment messaging typically includes 1 email and 2 text messages per survey. However, programs can choose to send additional reminders, as needed.

Messaging Design
Messaging content is created by Mentor Collective’s in-house user experience writers who are experts in the research and design of effective messaging. Each message has been field-tested and is meant to capture the unique voices each program serves, and our messaging strikes a balance between providing the information participants need without over-communicating.
After years of research into best practices and testing our campaign designs, Mentor Collective highly recommends programs take advantage of both email and text messaging campaigns to recruit and engage participants. Programs that leverage these best practices are most likely to see high engagement, high satisfaction, and student success impact.
Participants always have the option to unsubscribe from email and/or text messaging at any point.
Custom Messaging
Mentor Collective’s standard messaging automatically includes some custom language, including program name, institution name and logo, and any program-specific terminology for mentors and mentees.
