What is Smart Scheduling?
Smart Scheduling turns the intent to meet into a meaningful connection. Instead of back-and-forth emails and texts, mentors and mentees can now see exactly when their counterpart is free and secure a meeting in seconds.
Key Functionality:
- Onboarding Integration: Participants are prompted to connect their Google or Outlook calendars during the initial registration flow.
- Dashboard Access: Once matched, participants can view and manage scheduling directly from their Participant Dashboard.
- Mutual Availability Display: The system cross-references both calendars to show only the times when both parties are available.
- Dynamic Reminders: The platform provides personalized prompts—guiding users to sync their calendars, book a session, or attend their upcoming session.
Smart Scheduling is a universal release, available to participants across all programs on the Mentor Collective platform.
Technical Details
To ensure a seamless and intuitive experience, Smart Scheduling operates with the following technical logic:
- Supported Integration: Currently supports Google Calendar and Microsoft Outlook.
- Conflict Prevention: The platform identifies 30-minute slots where both parties are free of existing conflicts.
- Smart Working Hours: To prevent meetings at inconvenient times, available slots are automatically limited to 9:00 AM – 7:00 PM local time.
- Time Zone Intelligence: The system fetches time zone data directly from the calendar provider, ensuring that users always see availability in their own local time.
- Admin Visibility: In the next few weeks, you will begin to see scheduling data in your Partner Dashboard—the total number of meetings scheduled and per mentorship.
