The Admin Center contains administrative tools and resources for managing a program. From this page, partners can access the Program Designer, manage dashboard administrator access, connect with their Mentor Collective representative and Support Team, and quickly navigate to additional support resources.
Accessing the Admin Center
To access the Admin Center:
- Log in to the Mentor Collective dashboard
- Select your name in the upper right-hand corner of the screen
- Select Admin Center from the dropdown menu
Within the Admin Center, several sections are available to support efficient program management.
Support Team
The Admin Center provides quick access to the assigned Mentor Collective representative and support resources.
Within this section, partners can:
- View contact information for Partner Support
- View contact information for Mentor/Mentee Support
- Access the Partner Knowledge Center
Partner Support
For questions related to program or participant management, technical support, or system issues, partners should contact Partner Support.
Mentor/Mentee Support
For participant-related questions or technical support needs, mentors and mentees can contact the Support Team directly. If participants reach out to a partner, the partner can quickly copy and paste the Participant Support contact information to share it with them.
Partner Knowledge Center
Selecting the Partner Knowledge Center (where you're reading this article!) gives you access to additional articles, training resources, and platform documentation. If you have a question regarding how a feature works, the Knowledge Center will have the answer.
Program Designer
The Program Designer allows partners to build and manage programs within Mentor Collective. Most partners use the Program Designer during the initial program launch, when relaunching an existing program, or when creating a new program type. The Mentor Collective representative partners with each organization to determine appropriate timing and next steps for accessing and using the Program Designer.
Selecting Go To Program Designer redirects users to the Program Designer experience. For detailed guidance, refer to this article.
Mentor Collective Representative
This tile provides quick access to view and contact your assigned Mentor Collective representative. Customer Success Managers and Onboarding Managers are available for strategic consultations, program planning, and implementation support. If you'd like to connect with your Customer Success Manager or Onboarding Manager outside of your regular check-ins, select “Schedule a Meeting” to view their calendar and book a time directly from their available timeslots.

Manage Dashboard Administrator Access
The Dashboard Administrators section displays users who have administrative access to programs and provides the ability to add and remove admin access.
Administrators can:
- Access program dashboards and the data within them
- Support participant management, including adding, deregistering, and initiating recruitment outreach
- View and export program data
- View, monitor, and assign statuses to Flags
- Navigate administrative tools within the platform, including adding additional administrators
For partners with access to multiple programs, you can switch between programs using the dropdown menu. In some cases, your Mentor Collective representative may differ between programs — especially if one program is still in onboarding while another has already launched.
Be sure you are in the correct program when managing administrator access or contacting your Mentor Collective representative.
Add a New Administrator
To add a new dashboard administrator:
- Navigate to the Dashboard Administrators section
- Select + Add New Admin
- Enter the administrator’s information (first name, last name & email address)
- Save changes
Once added, the new administrator receives access to the applicable program dashboards and an email notification. If the user has not previously accessed a Mentor Collective dashboard, they will be prompted to create a password unless SSO is configured. If SSO is enabled, they will log in using their institutional email address and associated credentials.
Remove Administrator Access
To remove an administrator’s access:
- Locate the user within the Dashboard Administrators table
- Select Remove Access next to their name
- Confirm the removal when prompted
Removing access immediately revokes the user’s administrative permissions for the associated programs.
Help Button
The Help button is always at the bottom righthand corner throughout the platform and provides quick access to support resources and assistance.
Using the Help menu, partners can:
- Contact the Support Team
- Some examples include requesting a mentor or mentee file upload, reporting an issue or error you're encountering, requesting an email or text message to a group of participants, or requesting a custom resource to be added.
- Access helpful documentation and resources
If an issue arises or additional assistance is needed, the Help button is also the fastest way to connect with the appropriate support channel.
FAQs
What if the new admin doesn’t receive their access email?
If a newly added administrator hasn't received their invitation email, please try the following steps:
Check Spam/Quarantine: Institutional email filters frequently flag automated system invites. Have them check their spam or IT quarantine folder.
Verify the Email Address: Double-check the Dashboard Administrators table to ensure there are no typos in their email address.
Bypass via SSO: If your institution uses Single Sign-On (SSO), they do not actually need the email link. They can simply go to the Mentor Collective login page, enter their institutional email, and log in using their campus credentials.
Resend/Support: If they still cannot log in, use the Help button in the dashboard to submit a ticket to Partner Support, and our team will verify their account status.
Is admin removal immediate?
Yes. The moment you click "Confirm" on the removal prompt, that user’s active session permissions are immediately revoked. They will instantly lose the ability to view dashboards, export data, or manage participants across the associated programs.
Can I restore access after removing an admin?
Yes. Access is never permanently deleted; it is simply revoked. If a team member rejoins the project or needs access restored, you can re-add them at any time by clicking + Add New Admin and entering their information. If they previously set up a password, their historical account profile will link back up with the dashboard.
Who should be given admin access on my team?
Admin access should be strictly limited to core staff members who are actively responsible for program oversight and student support. This includes roles like Program Managers, Student Success Directors, or designated coordinators. Anyone granted admin access will be able to:
View and export sensitive student/mentor data.
Manually match, add, or deregister participants.
View and intervene on student "Flags" (e.g., academic distress, mental health concerns, or matching issues).
How do I schedule time with my Mentor Collective representative?
Scheduling is built right into your dashboard workflow. Log in, click your name in the top-right corner, and select Admin Center. In the Mentor Collective Representative & Support Team section, you will see a direct scheduling link to book a meeting with your designated Mentor Collective representative at your convenience.
I don’t see my program in the dropdown—what do I do?
If a specific program is missing from your dropdown menu, it is usually due to one of two reasons:
The program is still onboarding: If a new cycle or program hasn't officially launched yet, it may not be visible in your main live reporting dropdown.
Account mapping: Your profile may not have been granted admin permissions for that specific program yet (especially common if different departments manage different mentoring initiatives).
If you believe a program should be visible but isn’t appearing, use the Help button to reach out to Partner Support.
If my institution uses SSO, how does admin access work?
Mentor Collective integrates with your campus identity provider (IdP). When you add a new admin via the Admin Center, the system registers their institutional email address. Instead of creating and managing a separate password for Mentor Collective, the admin will simply use your university's standard login screen and security protocols (including any institutional Multi-Factor Authentication/MFA you have in place).
How often should we review dashboard administrator access?
We recommend auditing your administrator list at least once per academic term (or semester), and immediately following any internal staff turnover. Regular reviews ensure that former student workers, reassigned staff, or departed colleagues do not maintain access to student data. Regular audits keep your campus compliant with institutional data privacy policies.
Should we limit admin access for data security reasons?
Yes, absolutely. Mentor Collective dashboards contain Protected Personally Identifiable Information (PII) and sensitive student-reported data (via Flags). To maintain FERPA compliance and uphold institutional data security standards, you should operate on the Principle of Least Privilege. Only grant admin access to individuals who strictly require it to execute their daily job functions. For casual stakeholders who only need high-level insights, consider exporting summarized reports for them rather than granting full dashboard administrative rights.
